This Privacy Policy explains how GOGO CHECK-IN & ACE + JAMES LTD (collectively, “GOGO CHECK-IN”, “we”, “us”, or “our” in this Privacy Policy) handles and uses your personal information and data that we collect from you, or that you or your employer provides to us. In this Privacy Policy when we refer to "You" or "Your" we are referring to any account holder or visitor to our Websites, APIs, Mobile Apps, etc. and when we refer to "Client", we mean any person or Organisation that has registered to use our products or services.

Our Services

Clients use GOGO CHECK-IN to collect and process information from their employees, departmental teams or project teams to further understand and improve overall team/employee happiness, engagement and recognition.

We collectively refer to our "Services" as the products, services, apps and websites that we offer across multiple platforms (APIs, Websites, Microsoft Teams, Slack, Google Marketplace, Mobile apps, etc.). This Privacy Policy applies to all Services offered by us that post or include a link to this Privacy Policy. This Privacy Policy does not apply to any third-party websites, services or applications, even if they are accessible through our Services.

Information we collect about you

User information
When you sign-in or register to use our Service(s) we collect information that you provide to us, or in some cases is provided to us by your employer before you sign-in, which may include your Identity (name or email address). As you create, join or are added to Teams in your Client organisation, we store information about the team, including your involvment with the team.

Usage information
As you use our Service(s) we collect aggregated usage information for the purpose of managing your Organisation's subscription usage limits.

Survey Responses
When you use our Service(s) to complete surveys for a Team, we collect and store the survey Responses you provide which may include ratings, scores, sentiment, suggestions, messages, comments, etc. along with your email address. We provide analysis tools for you to use with respect to this data.

Survey Responses are anonymous, as such your Identity is not revealed in any data extracted from our Service(s), except where required by law enforcement. Users with administrator or analyst permissions in your organisation may have access to your Response content (score, sentiment, suggestion, message, etc.) but not your Identity. If response rates are low or the team size is small or if you include identifying information in your Response, it may be possible to deduce your Identity. Normal users who do not have administrator or analyst access will only see their own Responses.

Praise Recognition
When you use our Service(s) to receive and send Praise communication, we collect and store the Praise contents along with the email address of the sender and recipient. We provide analysis tools for you to use with respect to this data.

Payment information
If you make a payment to GOGO CHECK-IN we use a trusted payment provider, Stripe, to handle the transaction processing. Your billing details are never stored in our system. We do store information relating to the transaction including customer reference, receipt and subscription information which is used to manage your Client account with us.

Information from cookies and other tracking technologies
When you access our Service(s) we, along with third party analytics service providers, collect usage data, device data, referral data and information from cookies and similar technologies. This information includes pages you visit, how you interact with them, performance metrics, your IP address, operating system version, device type, and information on external websites that referred you to our services. Cookies are small pieces of data that we store on your device that allow us to identify and authenticate you as you use our Service(s) and recognise repeat visits.

Log data
When you access our Service(s), some technical information is automatically recorded by our web server in log files that record information about the nature of each access request. This information typically includes your IP address, the page being accessed, your operating system and access timestamp.

How we use your information

User information
We use your email address to identify your user account within our system, which allows us to provide secure and trustworthy Service(s) and gives you the ability to update your responses. Your email address is also used to identify your involvment with Teams in your organisation, to ensure you complete the required surveys for each Team.

Where applicable we will send you email communications relating to your account in our system, including a welcome email when you first register, reminders, message notifications, announcments relating to our Service(s), billing related matters and similar communications that are required for us to provide our Service(s) to you. These email communications are necessary and cannot be opted-out of.

Survey Responses & Praises
Survey Responses and Praises you provide to us are collected and stored within our Service(s). You have access to view your own Responses and Praises using the web reporting tool we make available to you, and optionally using more advanced analytics tools depending on your subscription plan. Other users in your organisation (our Client) may have access to see your Survey Responses and Praises, depending on their user permissions. Please contact your Team administrator or the person who added you to GOGO CHECK-IN to understand how this information is intended to be used.

As per the section above, Survey Responses are anonymous, as such your Identity is not revealed in any data extracted from our Service(s), except where required by law enforcement. Praises are not anonymous. When you send or receive Praise, you should be aware that the sender and recipient Identities along with the praise content are available in reporting and data extracts. This information is only accessible to users within your organisation. When you receive Praise, we will notify you by email.

Payment information
We store information relating to transactions, which is used to manage your Client account with us including your subscription expiration and payment plan.

Information from Log data, and other tracking technologies
We analyse usage patterns to help us to optimise and troubleshoot our Service(s) and provide a better user experience. We also use this information to monitor and improve our Service(s) and features by analysing information we collect on usage data, device data, referral data and other tracking information.

Legal requests
We may need to inspect and share the data we are storing to meet any applicable law, regulation, legal process or enforceable governmental request.

Fraudulent or Malicious Activity
We may need to monitor, inspect and share the data we are storing to detect, prevent or otherwise address security issues, fraud or malicious activites in our Service(s).

Cookies and similar technologies
These are used to help us to:

  • Provide you with personalised content by remembering your subscription plan, your site branding preferences, your unread Praises and your active Team.
  • Authenticate and protect your identity as you navigate around our Service(s).

Information we share

We do not share your information or data with third parties outside GOGO CHECK-IN except in the following limited circumstances:

Affiliates and Partners
To help us provide certain aspects of our Service(s) we use our affiliates and trusted key partners – in particular, we engage third parties to:

  • Facilitate our email collectors for sending notifications and reminders by email to Users.
  • Facilitate customers in making payments.
  • Deliver and help us track our marketing and advertising content.
  • Help us track website conversion success metrics.
  • Manage our sales and customer support services to you.
  • Account Usage
    We provide an analysis tool for you to view aggregated account usage statistics with respect to subscription limits. Upon request we may share details on all of the usage metrics for your Organisation with your site administrator or billing contact. This information includes your email address, Teams, API calls, Response count and Praise count to be used for the purpose of managing your Organisation's paid contract with us.

    Team Membership
    Your Identity will be visible to other members in your Team(s).

    Site Administrators
    We list all Site Administrators email addresses on our Settings page for your Organisation. This gives Users in your Organisation contact details if there are configuration changes required to the Organisation in our Service(s).

    Legal requests
    We may need to inspect and share the data we are storing to meet any applicable law, regulation, legal process or enforceable governmental request.

    Fraudulent or Malicious Activity
    We may need to monitor, inspect and share the data we are storing to detect, prevent or otherwise address security issues, fraud or malicious activites in our Service(s).

    Safety of Minors and COPPA

    Our Services are not meant for nor should they be used by minors (individuals under the age of majority in their country of residence (13 years or under in the United States or 16 years or under in the European Union). Our Service(s) are designed for use by organisations. We rely on the organisations to ensure their team members are of appropriate legal age to use our Service(s). However, if we learn that a User is a minor and we have unknowingly collected personal information from them we will take necessary steps to delete that users account and any/all information that we have collected from our records as soon as possible.

    Transfers outside the European Economic Area

    Data which we collect from you may be stored and processed in and transferred to countries outside of the European Economic Area (EEA). For example, this could occur if our servers are located in a country outside the EEA or one of our service providers is situated in a country outside the EEA. We will only transfer Data outside the EEA where it is compliant with data protection legislation and the means of transfer provides adequate safeguards in relation to your data, eg by way of data transfer agreement, incorporating the current standard contractual clauses adopted by the European Commission, or by signing up to the EU-US Privacy Shield Framework, in the event that the organisation in receipt of the Data is based in the United States of America. To ensure that your Data receives an adequate level of protection, we have put in place appropriate safeguards and procedures with the third parties we share your Data with. This ensures your Data is treated by those third parties in a way that is consistent with the Data Protection Laws.

    Data Retention

    Information relating to your User account, Teams, Organisation, Payment transactions and Usage metrics is retained for the duration of your Client account with us, or longer if required by law. Responses and Praise data is retained for the duration of your Client account with us for PRO and ENTERPRISE customers, and for the last 90 days for FREE customers.

    Even if we delete your Data, it may persist on backup or archival media for legal, tax or regulatory purposes. You can contact [email protected] to request data removal.

    Your Rights

    You have a right to obtain information about yourself or to correct, update or delete that information. For EU data subjects, please refer to the ICO website for more information on your rights under the GDPR. Some of these rights may be subject to some exceptions or limitations in local law. Please note your rights and choices vary depending upon your location. We will take reasonable steps to verify your identity and we will respond to your request to exercise these rights within 30 days of receiving a request.     Security of processing

    GOGO CHECK-IN has implemented technical and operational measures to ensure personal data processed remains secure. We utilise trusted third parties to manage our authentication and payment processing and we apply industry best practice for data and platform security and actively monitor our Service(s).     Our Service(s) use cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site. We only use necessary cookies, which are required for our site to function correctly.
